Instagram chatbot: how to turn DMs into useful conversations

Choose the right Instagram chatbot for the job: a Manychat flow, Manychat AI or an AI setter. Then test it on the replies that decide a sale.

Chapter 01The basics

What does an Instagram chatbot actually do?

It replies to supported interactions with your business account: a DM, a keyword in a comment, a story reply or an answer inside a conversation.

A rules-based bot follows a fixed path. An AI chatbot reads a free-text question and answers in natural language. Both only help when the conversation reaches a sensible next step.

  • Deliver: a welcome message, a link or a lead magnet.
  • Sell: qualify, handle an objection, decide when to offer a call.

Plan those two jobs separately, so a new follower doesn’t get the pitch meant for a ready buyer.

What this guide covers

Automation for an Instagram business or creator account. Not chatting with Meta AI, and never cold messages to people who haven’t interacted with you.

Chapter 02Decide

Rules, native AI or an AI setter?

Choose by the decision your business needs to make, not by how human the reply sounds.

Option 1

Manychat flows

Best for
Sending a requested link, routing a keyword, collecting a simple answer, a predictable follow-up.
Limits
You write every branch. Free-text questions fall outside the path.
Choose it when
The request is repeatable.
Option 2

Manychat AI

Best for
Open questions. AI Replies (opens in a new tab) answer from your Knowledge (opens in a new tab), AI Goals can share a link or capture details, AI Step adds AI inside a flow.
Limits
Feature access depends on your Manychat plan.
Choose it when
Replies need understanding, not just routing.
Option 3For sales-led DMs

An AI setter

Best for
Sales conversations: a lead state that persists, fit criteria for your offer, a deliberate next action and booking decisions.
Limits
Built for inbound leads you sell to through calls, on top of Manychat.
Choose it when
Replies turn into sales conversations.

The quick decision

Just sending a PDF when someone comments “GUIDE”? A Manychat flow is enough. Open questions with known answers? Try Manychat AI with your facts (see the Manychat AI guide). Replies that turn into buying decisions need a setter.

Chapter 03Build

Build the first flow in Manychat

All three options start from a Manychat trigger. Connect a professional Instagram account, pick one post or keyword, send an opening DM people can tap, then deliver what you promised before asking anything.

  1. 01ConnectA professional account
  2. 02TriggerOne post or keyword
  3. 03Opening DMThe tap opens the window
  4. 04DeliverThen one question

Every click and setting, with the tests to run before you go live, is in the Manychat Instagram automation tutorial. Official sources: connect Instagram to Manychat (opens in a new tab) and the Post and Reel Comments trigger (opens in a new tab).

Chapter 04Compare

The same objection, three ways

Same lead, same offer, three setups. The lead got the guide from your Reel and said they coach 3 clients. Then they write:

Lead: “Honestly, $1,500 feels like a lot right now.”

Setup
Manychat flowWhat it replies: Its Default Reply, or nothing: no branch expects this message. What it needs: A branch written in advance for this exact question.
Manychat AIWhat it replies: “Totally fair. There’s also a plan: 3 payments of $550.” A good answer. What it needs: Your price and payment plan in its Knowledge. An AI Goal to share a link.
AI setterWhat it replies: “Fair. There’s a 3 × $550 plan, and 3 clients is who it’s for. Want a 20-min fit call?”What it needs: Your offer and voice, a fit rule (2 to 10 clients) and the lead’s answers so far.
One offer for all three: Clientflow Coaching, $1,500 or 3 × $550, for coaches with 2 to 10 clients.

Manychat AI answers well when you give it the facts. The difference is what comes next: a setter keeps the lead’s state, checks your fit rule and picks the next action. Here, a call, because 3 clients fits.

A price objection is predictable, so all three can be prepared. The reply that breaks a flow is the one nobody wrote a branch for.

Chapter 05Test

Four tests before you go live

Whichever Instagram chatbot you picked, send the same messages from a test account. Compare each reply with the pass mark:

Test grid

Test
ToneSend: “hey is this legit??”Pass if: It sounds like you: your length, your words, no hype.
FactsSend: “Is there a payment plan?”Pass if: It matches your offer doc. A fact it lacks gets “I’ll check,” not a guess.
EscalationSend: “Can I talk to a real person?”Pass if: Your team gets the chat with its context, and the bot stops replying.
Call fit: noSend: “No clients yet. Can we hop on a call?”Pass if: No calendar link. It points to a free resource or a person.
Call fit: yesSend: “I have 4 clients. How do I start?”Pass if: It proposes the call, because your fit rule is met.
Run the grid again after every change to your facts, flows or rules.

After launch, count outcomes

Count replies, qualified leads and calendar-confirmed calls separately: a booking-link click isn’t a booked call. The full funnel: Instagram lead generation.
