Start with one high-intent path: a prospect asks about your offer. More messages aren’t the goal; a better next step is.

Urgent or sensitive cases go to a person. The booking link comes once the fit is clear.

Prepare the offer facts, one clarifying question, an escalation rule and the condition for proposing a call. Save what the lead said, never a budget they didn’t share.

Chapter 03Setup

Set up WhatsApp automation in three steps

  1. Welcome every new chat

    Turn on the Business App’s greeting and away messages, or a Manychat Default Reply that asks one question. Menus and five messages to copy: WhatsApp auto reply.

  2. Connect your number, build one path

    In Manychat, connect an existing or new number on Pro or above; chat history doesn’t transfer (connection methods (opens in a new tab)). Then a welcome, one question and a human route: the WhatsApp chatbot guide.

  3. Send the link, count the booking

    Share your booking link when the lead fits or asks for a call. Count it only once the calendar confirms: WhatsApp appointment booking.

Respect WhatsApp’s message window

Unlike Messenger and Instagram, WhatsApp has no 7-day window: after 24 hours, only an approved template can reach the person, per Manychat’s messaging windows guide (opens in a new tab). On a Coexistence number, you can still write by hand from the Business App.

Templates are Marketing or Utility, approved by WhatsApp, and need a Manychat plan that includes them plus funds in your Wallet: see WhatsApp templates in Manychat (opens in a new tab).

Opt-in comes first

You can only message people who gave you their number and opted in to hear from you, per the WhatsApp Business Messaging Policy (opens in a new tab). A website form, an SMS or a phone flow can collect it (Meta’s opt-in guide (opens in a new tab)). Honor every opt-out.

US numbers: Marketing templates are paused

Meta paused Marketing templates to US numbers on April 1, 2025, with no end date confirmed. Utility templates and Click-to-WhatsApp ads still work (Manychat’s note (opens in a new tab)).

Chapter 05Budget

Plan the cost before a follow-up campaign

Three separate line items: your Manychat plan (WhatsApp starts on Pro, $39/month or $29/month billed yearly), WhatsApp message charges paid from your Wallet, and any AI layer you add, billed by its vendor.

Service messages are billed from October 1, 2026
