Manychat chatbot: how to build one that moves conversations forward

Chapter 01The basics

Start with one job for your chatbot

Manychat is a messaging automation platform. In its Flow Builder, a trigger starts a workflow; messages, actions and conditions decide the next step. Your bot handles repetitive exchanges so your team doesn’t watch the inbox all day.

Not every chat is a sales call

A chatbot can support lead generation, ecommerce and customer engagement. Someone asking for an order update needs a different path from a buyer weighing a complex service.

Chapter 02Build

Build a useful Manychat chatbot in 7 steps

  1. Connect one channel, pick one outcome

    Connect the Instagram, Messenger or WhatsApp account you’ll use. Then write down success: deliver a resource, answer a common question or spot a qualified lead.

  2. Create the automation and trigger

    In the Flow Builder, add a trigger for a keyword received in a DM, like PLAN. Check that no other live automation uses the same entry point.

  3. Send the promised value

    Answer right away: “Here’s the planning checklist: [your link].” Asking for a phone number or pushing a booking link first only adds friction.

  4. Ask one useful question

    Where to click: Data CollectionCustom User Field

    Tie it to the resource: “What should we plan first?” Offer a few buttons, or on a paid plan save the reply in a custom field like current_goal. Reply types vary by channel.

  5. Add a condition and a human path

    Branch on the saved answer, a tag or a button: an FAQ for information, a teammate for specific or sensitive requests. Keep your first Manychat bot small.

  6. Decide if a call belongs here

    Selling a service through calls? Write what makes someone a fit before any calendar link. A button can’t judge fit on its own.

  7. Test the whole conversation

    Then message the account from a second one. Check the trigger fires, the resource arrives, the reply is saved, the right branch follows and a person can take over. Go live, then test a question your script didn’t plan for.

Chapter 04Channels

Instagram, Messenger and WhatsApp aren’t the same flow

  • Instagram

    Keyword DMs are the easy start. After a comment trigger, the private reply alone doesn’t open the 24-hour window: the person must interact. Step by step: Manychat Instagram automation.

  • Facebook Messenger

  • WhatsApp

The shared rule

Chapter 05Before launch

Your first-bot checklist

Five checks before the bot talks to real people. Skip one and the first lead finds the gap.

What the Flow Builder doesn’t decide on its own, even with a perfect checklist:

  • Typed answers. Buttons and keywords branch. A sentence in the lead’s own words needs an AI Step or a person.
  • Offer questions. The bot sends the answer you wrote, not the one this lead needs.
  • Fit. Conditions read fields and tags. Something has to turn a conversation into those fields.
  • The call. When to offer the calendar is a rule you write, branch by branch.

Choose the next layer by the decision you need

Predictable tasks: reply to a keyword, deliver a resource, collect a choice, route an FAQ.
Limits
Every branch is yours to build. Free text falls outside the path.
Choose it when
You want full control of the path.
Layer 2

Manychat AI

Best for
Open-ended input. AI Step works from a goal and business context. AI Replies and, on eligible Instagram accounts, AI Goals (opens in a new tab) capture details and assign a person.
Limits

Choose it when
Replies are hard to predict.

Only sending a PDF? A flow is enough. When the next reply decides whether to propose a call, it’s a sales decision: it needs your offer and fit rules.

Count progress, not just messages sent

Clicks and subscriber counts can’t tell you whether the chatbot helped sales. Track four numbers for one entry point, before and after you change the flow:

  • Conversations started

    People who sent the keyword or opened the flow.

  • Useful replies

    Answers you can act on, not just button taps.

  • Qualified leads

    Prospects who match the fit rules for your offer.

  • Calls confirmed

    Bookings your calendar confirms, not link clicks.
