WhatsApp appointment booking: how to book a confirmed call

WhatsApp appointment booking takes three moves: send the link at the right moment, follow up when needed, and stop once the calendar confirms.

Chapter 01Define

What counts as a booked appointment?

A calendar link sent is an invitation. A click is interest. A booked appointment is a confirmed event in your calendar, tied to the right contact.

Six statuses, what sets them, what happens next

The signal depends on your calendar. On Calendly, a reschedule cancels the old event and creates a new one, flagged rescheduled (opens in a new tab) (checked September 28, 2026).

Merge these states and your booked count rises for the wrong reasons. A no-show isn’t a calendar signal: your team marks it, in the calendar or your CRM.

Chapter 02Workflow

The six-step WhatsApp booking flow

Book appointments on WhatsApp in six steps, each with a fallback for when the lead goes quiet.

  1. Capture the inquiry

    Answer the question they sent first, whatever the entry point. Fallback: after hours, a WhatsApp auto reply says when you’ll answer.

  2. Ask one or two fit questions

    Need and timeline are usually enough. Save each answer to the contact. Fallback: no reply means one nudge inside the 24-hour window, then wait.

  3. Route what isn’t a fit

    Support, urgent or sensitive requests go to a person, with the chat history. Fallback: nobody free? Say when someone will reply.

  4. Share the right scheduling link

    When the lead qualifies or asks for a call, send the link with one line on what the call covers. Fallback: no booking keeps the status at Link sent.

  5. Confirm the booking

    Wait for the calendar’s event-created signal, match it to the contact, save the event ID, then set Booked. Fallback: no match means Unknown, and a teammate checks.

  6. Handle changes and alert a person

    A cancellation or reschedule updates the status and its reminders, and the call’s owner hears about it. Fallback: no signal? Check the calendar before counting the call.

Chapter 03Follow-ups

Follow up until they book, then stop

No booking after the link? Don’t resend it every hour. Plan two or three follow-ups, each with a reason, inside 24 hours of the lead’s last message.

Stops automatically when

Chapter 05Match

Don’t mistake intent for a booking

A lead can ask for a call, get the link and never pick a time. Another books with a work email the chat never saw. Record what you know at each step:

  • Same number or email

    The event matches the chat contact. Set Booked.

  • No match

    An event exists, no contact matches. Set Unknown, alert a teammate.

  • No event

    The link is out, nothing is booked. Keep Link sent.

Unknown stays unknown

Don’t match on a first name. If the match is uncertain, alert a teammate instead of inflating your count of booked calls.

On WhatsApp you already have the number: ask for it on the booking form, or for the email in the chat, and match on that. Fewer bookings end up Unknown.

WhatsApp has no 7-day window: after 24 hours, only an approved template can reach the person, per Manychat’s messaging windows guide (opens in a new tab). Check the template’s category and how templates work in Manychat (opens in a new tab) before you schedule one.

Lead asks to move the call in the chat? Their message reopens the 24-hour window: reply with your reschedule link.

Opt-in comes first

You can only message people who gave you their number and opted in, per the WhatsApp Business Messaging Policy (opens in a new tab). Stop reminders after an opt-out or a cancellation.

Reminders can be billed

Templates are billed per message. From October 1, 2026, replies inside the window are billed too, by destination, after 1,000 free service messages per phone number each calendar month, per Manychat’s WhatsApp pricing guide (opens in a new tab).

Chapter 07Test

Test before you count a booking

Run each case with a real test contact. The same event must never count twice, and a change must never leave two bookings.
